Summary

Mott Macdonald are actively recruiting for individuals interested in joining us as Project/Business Administrators working on some of the largest and most exciting projects across the UK. We are keen to attract those with a passion for administration, attention to detail and technical/IT skills to help our projects teams shape the future.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • Act as first point of contact to employees and managers to effectively deal with queries or identify the correct route of escalation
  • Offer guidance to people managers to ensure compliance on people changes or issues such as absence management, performance management, family friendly leave (maternity, paternity and flexible working)
  • Deal with various HR queries throughout the business and where necessary, produce HR documents – offer letters, reference letters, contract variation letters, salary and bonus letters, probation confirmation letters and leaver acknowledgement letters
  • Coordinate the induction and onboarding process for all new starters – ensuring all employees are compliant and feel valued from day one.
  • Work closely with the HR team to support HR projects – ensuring key stakeholders are engaged
  • Support the team to update and develop policy in line with the values and culture of the business
  • Hosting and coordinating lunches – promotions/training/team upskilling events - meet and greet, registration, coordinating refreshments, taking notes, follow up surveys/feedback, reporting on next steps for individuals/teams
  • Supporting recruitment by attending careers days in local schools/colleges/business showcases – following up from the day, newsletters to sign ups
  • Involvement in the people conferences – people coordination, registration, manage attendance registers to provide insight into attendees/non attendees
  • Any other reasonable task or key accountabilities as required

  • Service Delivery: Delivers excellent customer service on a range of HR queries and requirements, providing solutions, advice and support primarily to managers. Builds managers’ expertise in HR matters, improving their ability to handle repeated situations themselves where appropriate. Uses agreed systems and processes to deliver service to customers. Takes the initiative to meet agreed individual and team KPIs in line with company policy, values, standards. Plans and organises their work, often without direct supervision, to meet commitments and KPIs.
  • Problem Solving: Uses sound questioning and active listening skills to understand requirements and establish root causes before developing HR solutions. Takes ownership through to resolution, escalating complex situations as appropriate.
  • Communication & Interpersonal: Deals effectively with customers/colleagues, using sound interpersonal skills and communicating well through a range of media eg phone, face to face, email, internet. Adapts their style to their audience. Builds trust and sound relationships with customers. Handles conflict and sensitive HR situations professionally and confidentially.
  • Teamwork: Consistently supports colleagues /collaborates within the team and HR to achieve results. Builds/maintains strong working relationships with others in the team and across HR where necessary.
  • Process Improvement: Identifies opportunities to improve HR performance and service; acts on them within the authority of their role. Supports implementation of HR changes/projects with the business.
  • Managing HR Information: Maintains required HR records as part of services delivered. Prepares reports and management information from HR data, with interpretation as required.
  • Personal Development: Keeps up to date with business changes and HR legal/policy/process changes relevant to their role. Seeks feedback and acts on it to improve their performance and overall capability.

    This training will be delivered in partnership with a chosen provider through virtual training one day per week.

    Completion of this apprenticeship will award you with a nationally recognised qualification as well as the opportunity to progress to higher level qualifications and apply for industry body membership.

    Essential qualifications

    GCSE or equivalent in:

    • English (grade 4 or C)
    • Maths (grade 4 or C)

    Desirable qualifications

    GCSE or equivalent in:

    • Science (grade 4 or C)
