Summary

This is a fabulous opportunity to work within a busy GP practise. This will involve providing a comprehensive and efficient reception and clerical support to the surgery to enable it to run efficiently and effectively maintaining a high standard of care to the patients. This is a demanding role, involving quick thinking, and confidentiality.

Monday - Friday, shifts to be confirmed. The medical practice opens at 8.00am until 6.45pm every day the working hours will be agreed at the interview to be flexible.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • Meeting the varying demands/situations in respect of the patients
  • Take part in the range of general receptionist duties as
    needed
  • Flexibly contribute to all the receptionist’s workload as
    directed by the manager
  • Ensure the reception and waiting areas are tidy and safe,
    and provide a welcoming appearance to patients and
    visitors
  • Team player with the ability to be flexible in which hours
    you work from week-to-week and be willing to work above
    the stated hours if needed
  • Demonstrate self-organisation and flexibility and the ability
    to prioritise workload, working to strict deadlines
  • To communicate with staff and visitors daily, providing
    support where required and working to help resolve any
    issues
  • To record and securely store information relating to
    confidential matters and enquiries

  • Use a range of questioning skills, including listening and responding in a way that builds rapport, determines customer needs and expectations and achieves positive engagement and delivery.
  • Depending on your job role and work environment: Use appropriate verbal and non-verbal communication skills, along with summarising language during face-to-face communications; and/or
  • Depending on your job role and work environment: Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
  • Depending on your job role and work environment: Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
  • Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
  • Be able to organise yourself, prioritise your own workload/activity and work to meet deadlines.
  • Demonstrate patience and calmness.
  • Show you understand the customer’s point of view.
  • Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
  • Maintain informative communication during service recovery.

    Customer Service Practitioner Level 2 Apprenticeship Standard:

    • Apprentices will be allocated a Trainer Assessor and training will be planned and delivered in conjunction with the employer to meet the individual needs of the apprentice
    • The apprentice will spend 20% of their working hours in off the job activities and training
    • On the job and off the job training will be delivered in the
      workplace

    More training information

    • Apprentices who have not achieved the equivalent of level 2 qualifications in maths and English, will need to achieve level 1
      functional skills in these and work towards level 2 functional skills
