Summary

We have an exciting opportunity for an apprentice to join our busy and friendly team to support the examinations requirements of the college. The successful candidate will become part of the examinations team, reporting to the exams team leader and being supported to complete the level 3 Business Administrator apprenticeship standard.

You will be entitled to 26 days annual leave plus bank holidays and up to 4 concessionary days. Up to 4 days leave can be directed for efficiency closure.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • To provide clerical and administrative support to the exams department to a high standard of accuracy and presentation, to include general correspondence and reports, whilst undertaking efficient execution of general office duties
  • To ensure the efficient, effective and accurate input of data to College Information Systems
  • To maintain all associated documentation, files and records and make available for inspection or audit if requested to do so
  • Compile and order all stationery requirements for the exams department
  • To arrange and service team meetings, distributing agenda, take notes and prepare minutes for the team meetings
  • To book additional accommodation/facilities/activities as directed by exams department
  • To support the receipting of examination papers
  • Support the exams department area’s risk assessment process
  • To maintain strict confidentiality and discretion at all times
  • Any other duties, which may reasonably be regarded as commensurate with the responsibilities of the post

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.
  • Your training plan

    • Level 3 Business Administration apprenticeship standard

    This is a work based programme which means that all of your learning will take place on the site of your employment and within your contracted working hours. We host supporting workshops regularly throughout the apprenticeship which you will attend in person at our Derby Road campus. There are also monthly online tutorials via Microsoft Teams.

    • You will work with expert assessors to develop new knowledge, skills and behaviours within the profession
    • You will experience a blended learning model
    • You will gather learning evidence, journals and off-the-job records using your e-portfolio
    • At the end of the planned learning period, it will be agreed that you are ready to enter 'Gateway' and for your End Point Assessment to be arranged

    Essential qualifications

    GCSE or equivalent in:

    • English (grade 9-4 / A*-C)
    • Maths (grade 9-4 / A*-C)

    Other requirements

    The college group is committed to safeguarding and promoting the welfare of children and young people and expects all staff to share this commitment. Posts are all subject to DBS check. The successful candidate may be required to pay for the DBS check themselves, the cost will automatically be deducted from their first salary payment. The post holder will be based at our Derby Road or Station Park site, although you may be located at any West Nottinghamshire College Group Site and may be expected to travel as required. You will however be given reasonable notice of any change in your principal place of work and be fully consulted.
