Summary

We are seeking a highly motivated individual to join our team; you will be responsible for various administration tasks as well as ensuring the highest level of customer service to our clients. The role is varied and will involve communicating with staff, processing invoices, maintaining accurate data, answering telephone enquiries from clients.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • Taking telephone calls and recording accurate messages, ensuring all communications (e.g. telephone calls, e-mails) are dealt with in a prompt, efficient and courteous manner, and taking appropriate action or referring to appropriate members of the team
  • Identifying and rectifying simple faults with printers and copiers e.g. keeping stocked with paper, clearing paper jams, and replacement of ink cartridges
  • Preparing and producing emails to be sent to the clients of the work that has taken place on their vehicle, time it happened what has taken place, parts changed
  • Preparation of invoices for vehicle parts that will need to be distributed to different locations across the Midlands and then picking the part for the customer ready to be sent out by post
  • Assisting with maintaining levels of stock and stationery
  • Maintaining the Goods Received Log and Stock Control Records, ensuring that all records are kept up to date and organised in an easy and accessible manner
  • Accurately inputting the information into the bespoke database, to ensure timeliness and accuracy of data recorded
  • Speaking to customers over the phone in regards to general enquiries, on how long it will be before their specific vehicle will be ready for collection from the depot
  • Updating our eBay store online, creating a listing on here and keeping records up to date, taking photos and updating these for the customers to see the products we are selling on eBay
  • Updating our online advertising platforms, promoting the work we have done taking photos and uploading these online
  • Carrying out any other duties relevant to the post

  • Depending on your job role and work environment: Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
  • Depending on your job role and work environment: Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
  • Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
  • Be able to organise yourself, prioritise your own workload/activity and work to meet deadlines.
  • Demonstrate patience and calmness.
  • Show you understand the customer’s point of view.
  • Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
  • Maintain informative communication during service recovery.

Your training plan

  • As well as working towards a Level 2 Customer Service Practitioner qualification, you will learn job-specific skills from experienced colleagues 
  • In addition to a workplace mentor, you will receive support throughout your apprenticeship by a dedicated mentor from the Council's Apprenticeships team

Essential qualifications

GCSE or equivalent in:

  • English (grade 4)
  • Maths (grade 4)

Other requirements

If successful, you would be expected to work within the team based in Cradley Heath. You will report into your mentor on a daily basis, also as the position is based in a garage the doors are open so it can be cold but you are in an office based within the garage.
