We are seeking a motivated and enthusiastic Data Management Apprentice to support the Data Management team at Kingsmead School. This is an excellent opportunity for someone interested in developing a career in data management and working within the education sector.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you’ll do at work

The successful candidate will play a key role in assisting with the collection, management, and analysis of student data to ensure that our school delivers high-quality educational outcomes for all students.

  • Assist in the accurate and timely input of student data into school management systems
  • Ensure data records are regularly updated and maintained in line with school policies and procedures
  • Any other ad-hoc data related work in exams such as exam entries, creating exam timetables on MIS, creating seating plans and labels
  • Support the creation of regular and ad-hoc data reports for staff, leadership, and external agencies
  • Assist in compiling data for internal performance tracking, such as exam results, attendance, and behaviour records
  • Assist in maintaining accurate and up-to-date timetables for students and staff, including subject changes and class list updates
  • Assist with the preparation and management of student data for the transition from one academic year to the next
  • Support the updating of class lists, form groups, and year group allocations at the start of each academic year
  • Support in ensuring that all relevant student information is transferred accurately and efficiently to the next academic year, including progress records and timetable changes
  • Support with the preparation of new student data for enrolment, including processing information for Year 7 intake or any other new students joining the school
  • Assist the data manager with the preparation of educational records and the common transfer file to destination schools as necessary
  • Conduct regular checks to ensure the accuracy and completeness of student data
  • Flag any discrepancies or issues and work with the team to resolve them promptly
  • Support the implementation of best practices for data management and data protection
  • Learn and support the use of the school’s data management software and databases
  • Assist staff in using systems to access relevant data as necessary
  • Work closely with the Data Manager and other colleagues across the school to support the effective use of data for student improvement
  • Provide administrative support to the Data Management team, including scheduling meetings and maintaining documentation.
  • Ensure that data is handled in accordance with GDPR and the school’s data protection policies
  • Maintain confidentiality at all times, particularly when dealing with sensitive student information
  • Attend training sessions and workshops to enhance knowledge and skills in data management and related systems
  • Work towards achieving relevant qualifications and certifications during the apprenticeship

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

  • The successful candidate will obtain a Level 3 Business Administrator Apprenticeship standard qualification 

More training information

  • Each apprentice will have a dedicated tutor who will conduct monthly remote tutorials and reviews, providing continuous support throughout the apprenticeship program
  • Depending on the apprentice’s needs, the frequency of these sessions may vary
