Summary

This role offers an opportunity to step into Governance, starting with a Level 4 Governance apprenticeship (18 months), a key step towards becoming a Chartered Governance Professional. You'll need a willingness to learn and help the CII’s Corporate Governance Department deliver top-quality service.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you’ll do at work

  • Board and Committee meeting co-ordination, including agenda setting, board/committee paper review, collation, and publication
  • Board and Committee meeting support, including meeting room bookings and catering arrangements, reminding the team of deadlines and assisting in the preparation of reports or collation of relevant documentation
  • Preparing for the CII Group Annual General Meetings
  • Support the Corporate Governance Department with statutory filings and submission of annual returns to regulators, including Companies House and Charity Commission
  • Diary support and administration of calendars for Board and Committee meetings
  • Governance administration including the maintenance of outlook contacts and circulation lists, and website editing for the Governance pages
  • Support financial processes within the Department including raising purchase orders, processing invoices, and processing Board and Committee member expenses and Committee Member remunerations
  • Arranging Board Dinners and hotel accommodation for Board Members
  • Administering user access to the CII’s Board Portal
  • Supporting the Local Institute Volunteer Awards as Secretary, liaising with external suppliers for the production of certificates and awards and the Events Team for the presentation ceremony.
  • Co-ordination across CII Executive Assistants (“EAs”) and other key stakeholders where Board and Committee member attendance is required at CII meetings and events
  • Arrange and take minutes for meetings as required
  • Administer the Declaration of Interest Register and Staff declarations
  • Support with Board and Committee Member recruitment, including onboarding processes, arranging inductions, and offboarding processes
  • Maintain policy and procedure guidance for activities undertaken in the team and make suggestions for improvements
  • Undertake additional duties appropriate to the role and/or grade

Course contents
  • Interpret regulation, legislation and governance practices and advise and train stakeholders on its practical application.
  • Establish, maintain, and influence relationships with key stakeholders and team members.
  • Use IT systems to manage, share and store information in accordance with regulatory requirements and organisational policies and procedures.
  • Communicate complex information through a variety of media to enable key stakeholders to understand what is required.
  • Review instructions, following them to a conclusion through the execution of tasks.
  • Identify and use precedents adapted for specific circumstances such as resolutions, announcements, reports.
  • Produce work which is factually accurate and well presented for submission to the members of a decision-making governing body and for publication by the organisation.
  • Develop and maintain structure charts for the organisation.
  • Plan and prioritise their workload to meet deadlines.
  • Maintain and organise forward looking plans and calendars, keeping relevant stakeholders informed of upcoming events such as meetings, reporting timetables, compliance deadlines.
  • Gather, analyse, use, and share data to inform the decision-making process and make judgements on actions to take.
  • Identify problems and present potential solutions to stakeholders.
  • Respond to stakeholder questions and requests, knowing when to consult with others or escalate on matters of a more complex or sensitive nature.
  • Identify and implement improvements to support the governance of the organisation.

Essential qualifications

GCSE in:

  • Maths and English (grade A-C/9-4)

Desirable qualifications

Other in:

  • Additional relevant quals at A Level or above (grade NA)
