What you’ll do at work

The role is vital in ensuring the smooth and efficient functioning of HR process and systems. This position is responsible for managing HR administration, maintaining accurate employee records, supporting payroll and benefits administration, and ensuring compliance with company policies and employment regulations.

Duties and responsibilities:

General HR Administration:

  • Assist in refining and organising HR process documentation to improve team efficiency
  • Demonstrating energy, enthusiasm, and positivity
  • Manage reference requests for current and former employees, ensuring professionalism and efficiency
  • Act as the first point of contact for HR inquiries via the HR support platform, providing timely and helpful responses while escalating complex issues as needed

Onboarding and Induction:

  • Support the onboarding process by preparing offer letters, employment contracts, and handling pre-employment checks
  • Help track and coordinate probation review processes, ensuring managers complete timely assessments

Payroll and Benefits Support:

  • Assist in compiling and submitting payroll-related information, such as new hires, leavers, and contractual changes, to ensure accurate and timely processing
  • Maintain up-to-date records of staff benefits and contractual adjustments for payroll accuracy

HR Database and Reporting:

  • Keep employee records up to date in the People System (Connect), including starters, leavers, personal details, and leave records
  • Conduct routine data audits to ensure accuracy and compliance 
  • Support annual data cleansing activities to maintain system integrity

Course contents
  • Service Delivery: Delivers excellent customer service on a range of HR queries and requirements, providing solutions, advice and support primarily to managers. Builds managers’ expertise in HR matters, improving their ability to handle repeated situations themselves where appropriate. Uses agreed systems and processes to deliver service to customers. Takes the initiative to meet agreed individual and team KPIs in line with company policy, values, standards. Plans and organises their work, often without direct supervision, to meet commitments and KPIs.
  • Problem Solving: Uses sound questioning and active listening skills to understand requirements and establish root causes before developing HR solutions. Takes ownership through to resolution, escalating complex situations as appropriate.
  • Communication & Interpersonal: Deals effectively with customers/colleagues, using sound interpersonal skills and communicating well through a range of media eg phone, face to face, email, internet. Adapts their style to their audience. Builds trust and sound relationships with customers. Handles conflict and sensitive HR situations professionally and confidentially.
  • Teamwork: Consistently supports colleagues /collaborates within the team and HR to achieve results. Builds/maintains strong working relationships with others in the team and across HR where necessary.
  • Process Improvement: Identifies opportunities to improve HR performance and service; acts on them within the authority of their role. Supports implementation of HR changes/projects with the business.
  • Managing HR Information: Maintains required HR records as part of services delivered. Prepares reports and management information from HR data, with interpretation as required.
  • Personal Development: Keeps up to date with business changes and HR legal/policy/process changes relevant to their role. Seeks feedback and acts on it to improve their performance and overall capability.

Your training plan

As part of this apprenticeship, the apprentice will study the Foundation Certificate in People Practice accredited by the CIP.

Apprentices will be required to attend a series of workshops to study 4 mandatory modules.

  • Principles of Analytics
  • Core Behaviours for People Professionals
  • Essentials of People Practice

HR Support Level 3 Apprenticeship Standard:

  • You will also receive full training and support from the apprenticeship team to increase your skills
  • Your training will include gaining a Level 3 HR Support qualification

Essential qualifications

GCSE in:

  • English (grade C/4 +)
  • Maths (grade C/4 +)
