Summary

PD Harris are looking for an Administration Apprentice to join their office staff, based in Eastbourne General District Hospital. The role will be varied and will include dealing with subcontractors, writing reports, attending meetings to discuss targets with the hospital, monitoring attendance logs and holding site inductions.

The starting salary will be the Minimum Apprenticeship Wage. In the second year of the apprenticeship, the wage will be Minimum Wage for Age. The minimum amount of hours will be 30 per week but there could be more.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

Some of the key tasks will include but are not limited to:

  • Attending meetings with the hospital to discuss the targets the company have been set. Your role will be taking minutes at the meetings
  • Holding site inductions for staff once you’re trained
  • Writing and preparing reports
  • Completing attendance logs
  • Updating social media accounts
  • Monitoring sub-contractors
  • Using a system called Monday.com.

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Your training plan

As part of the apprenticeship you will complete the Level 3 Business Administrator apprenticeship standard. You will receive a grade Pass or Distinction on completion.

In addition to the apprenticeship standard you will complete Level 2 Functional Skills in maths and English, if you don't have GCSEs grades C/4 or above or equivalent. The delivery will take place in the workplace and the final exams at one of East Sussex College's campuses.

The apprenticeship will be delivered fully in the workplace, and you will have assessor meetings every 4-6 weeks and workplace reviews every 10-12 weeks to monitor your progress. There will also be monthly workshops.

About this company

Our history goes back many years when The Foundation of P. D. Harris (Henfield) Ltd was created as a sole trader family business in the early 1950’s, later incorporated to a Limited Company in 1975. Alan Harris took over the reins in 1991 as Sole Director, transporting the business through to the 21st Century. Based near Henfield in West Sussex, the Company works primarily on projects within Sussex, Surrey, Kent and Hampshire, as a building contractor. We have been awarded a contract at Eastbourne General District Hospital where this role will be based but we carry out public and private work.

After this apprenticeship

PD Harris has been awarded a contract for another four years at the Eastbourne Hospital so upon the successful completion of the apprenticeship there will be a job role for this period. There may then be further contracts.
