Summary

A key member of the office-based work winning team you will be responsible for the maintenance of all tenders-related information and documentation, the management of the group-standard common data environment (CDE) in so far it relates to the tenders, the bids’ WIP environment and other Information Management systems where applicable.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

People

  • Work with the project Regional Digital Delivery Manager to ensure systems, processes and procedures are established correctly to ensure effective information management across the project
  • Ensure the efficient and compliant receipt of tender information from the external sources and the speedy distribution across the work-winning and estimating team
  • Act as the central point of contact for work winning and estimating team members for chasing/resolution of issues in relation to information management and supporting processes/protocols
  • Support collaborative working and information exchange across the work winning and estimating team
  • Monitor and drive compliance with the defined information management protocols
  • Support tender reporting from across project information management systems
  • Organize the team members’ access within the CDE and other information management systems, including adding and removing users / setting user access rights etc

Process

  • Ensure that locations and processes for creating and storing project information are defined and agreed at
    project start-up (as per the Information Management Plan (IMP) and Task Information Delivery Plans (TIDP
    and Master Information Delivery Plan (MIDP)
  • Provide clear direction to the work winning and estimating team on the use of the defined information
    management systems and tools and drive ongoing adherence – when required upload documents to the CDE
  • Allocate/control document numbering/naming systems for tender documentation and carry out data checks
    on all incoming shared/published documents and initiate and manage required workflows
  • Generate reports and monitor data analytics to provide feedback to the project team on project performance
    throughout the project lifecycle
  • Ongoing monitoring and governance of the file structure of the CDE and the project shared drive, monitoring
    document submission performance progress, coordinating the review process and ensuring deadlines are met
  • Providing continuous improvement feedback to the Regional Digital Delivery Managers and the central Digital
    Information team on both performance of key systems/tools and group standard templates/procedures and
    forms.
  • Understanding of BS EN ISO 19650 Parts 1 & 2 standard for information management and application during
    the delivery and handover phase of a built asset

    other project information management systems

Course contents
  • Proficiently apply regulations including data protection, standards, guidelines and quality requirements as they pertain to information process and output
  • Assist with the operation and maintenance of a Common Data Environment (CDE) and ensure the (CDE) maintains integrity and follows agreed protocols and that data remains secure
  • Establish processes and accurately analyse, audit, verify and validate data as being accurate, appropriate, attributable, authentic and relevant according to protocols
  • Evaluate and make recommendations around information work processes, quality improvement and future resource planning for information management requirements
  • Identify and manage risk, put in place mitigating actions to minimise risk data integrity and security
  • Draft work plans, strategies, delegate responsibilities and work instructions defining the scope of information management that comply with aims, objectives, planned milestones and organisation procedure
  • Validate, manage, disseminate and store information throughout all stages of a project or asset
  • Design and embed consistent data control processes and workflows accounting for status, maturity, version control, revision control, audit history and approval processes
  • Advise on the implications of security accreditation, ISO27001, PAS 1192 Part 5 and industry specific requirements such as List N (Nuclear) and List X (Defence) and information classification
  • Establish and consistently implement project and asset systems including specification requirements, definition of processes, configuration and appropriate training plans
  • Prepare and deliver timely, accurate and clear written and verbal reports
  • Define and implement solutions to information sharing and storage problems
  • Evaluate requirements and provide solutions for embedding contractual and regulatory requirements
  • Define and manage processes for staged and progressive handover of information and structured formats in line with delivery schedules, duly verified to meet quality acceptability requirements
  • Effectively use a range of solutions and formats for the creation, dissemination, storage, validation and merging of information, ensuring secure access and effective integration
  • Prepare and deliver effective training on information management to internal and external stakeholders, monitor the effectiveness of this training and reflect on feedback to inform continuous quality improvement within the scope of responsibility
  • Estimate resources, manpower and associated costs to ensure compliance with baseline and changes to scope for future development and innovation requirements
  • Apply principles of effective line management in line with organisation practice
  • Reflect and evaluate own work and its impact on the organisation to plan for improved performance
