Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • To receive patients in a polite and courteous manner
  • To keep GP’s/Nurses informed as to non-attenders
  • To facilitate the effective flow of patients through to GP’s/Nurses keeping patients fully informed at all times of delays etc
  • To deal with telephone appointment bookings/enquiries
  • Maintaining confidentiality at all times within the reception area
  • To ensure reception area are always left tidy at the end of each surgery
  • To liaise fully with other receptionists at all times, updating them with any changes/problems regarding the appointments system
  • To facilitate an efficient and effective computerised appointment system, reporting any problems to the reception manager/IT facilitator
  • To liaise with the reception manager regarding any foreseeable problems regarding GP appointment times/need for locums etc
  • To assist with any routine computer work during quieter periods as directed by the reception manager
  • To assist in the running of the annual Flu/Covid vaccination campaigns
  • Dealing with security of visitors to the practice by ensuring the visitors book is completed and that visitors badges are given out appropriately
  • To work as an effective team member
  • Ensure computer security by logging out from the computer when not in use
  • Use of email within the practice as the first line of communication across the practice
  • Maintain electronic patient record in line with the needs of a paper light environment
  • Completing/updating the message book at the end of each shift as part of handover process to other receptionists
  • Keeping accurate records of any lost property
  • Ensuring that all consent forms for student/registrar appointments are completed correctly
  • To ensure a personal responsibility for information security and confidentiality at all times College use only BDM Date to Hub Version 1308a
  • To work flexibly and assist with additional hours, as reasonably required, at busy times
  • This position includes the need to be part of a late night rota to cover extended hours surgery, as required
  • Photocopying and laminating, as required
  • Updating internal telephone numbers list
  • Franking daily mail and taking to the Post Office
  • Inputting patient data onto EMIS system from new registration paperwork and scanning onto EMIS system
  • Ensuring all practice deductions are carried out in a timely manner

  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly.     • No day release at College, all training to be done in the workplace
    • Where a business administrator has not already achieved Level 2 English and Maths, they must do so before taking the end-point assessment
