Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

Henley Business School is a globally ranked, internationally-renowned business school, based at the beautiful Greenlands campus, and part of the University of Reading.

The Projects and Engagements Team (also known as the Hub team) delivers and operationalises the calendars of events and activities for The Henley Partnership, the Henley Centre for HR & Organisational Capability, and for the Henley Centre for Coaching, as well as business
development activities across the wider portfolio of the Corporate Development Division.

This role supports the administration involved with running our calendar of activities, and in supporting our members to make the most out of their memberships. Some of the tasks you will be carrying out include:

  • Making sure that we deliver an exceptional experience to our members, both individual and corporate, to develop and deepen our relationships with our clients – with everything we do, asking the question ‘how can we make this better for our members?’
  • Responsibility for all general administration support relating to the Hub team and our activities, including updating communicating with members and event attendees, data entry, managing systems such as our website platform and engagement software, and drafting of event materials
  • To administer a range of activities designed and delivered for our members, and dealing with associated enquiries and correspondence
  • Responsibility for administration involved in Coaching and THP event reporting as required from the team and our stakeholders (business development, marketing, PR)

As an apprentice, you will be supported in developing your confidence and skills for the role by the Projects and Engagements Team Manager and experienced colleagues in the team.

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.
  • Your training plan

    Apprenticeship standard: Business Administrator Apprenticeship (Level 3).

    You will be enrolled on the Business Administrator Advanced Apprenticeship provided by Farnborough College and run over 18 months.

    During this time, you will attend face-to-face training at Farnborough College one day every fortnight, and you will generate a portfolio of evidence to demonstrate the practical skills you have acquired during your apprenticeship.

    GCSE or equivalent in:

    • English (grade 4/ C or above)
    • Maths (grade 4/ C or above)

    Other requirements

    This role is based at our Greenlands campus near Henley-on-Thames, therefore having your own transport would be beneficial. College days will be based at Farnborough College of Technology so you must be able to travel to Farnborough College 1 day every fortnight. Transport to the college will be covered by expenses.

    After this apprenticeship

    This is a fixed term role (2 years) with extension dependent upon progression through the apprenticeship; upon successful completion of the apprenticeship, this role will become eligible for progression from this role to the Memberships & Events Administrator (Grade 4) which is a permanent role.
