Summary

The main purpose if the role will be to support the Trust with all areas of recruitment administration, acting as a main point of contact for initial enquiries and supporting candidates through the recruitment journey.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

Duties and responsibilities Recruitment & Selection:

• To create, prepare and place job adverts on all relevant job platforms used by the Trust once authorisation to recruit has been granted, using agreed Trust templates.

• To liaise with the recruiting manager to ensure that short-listing processes are being carried out effectively ensuring fair processes are followed at all times.

• To arrange interviews; by supporting in the preparation of interview schedules, inviting candidates to attend for interview and providing all the paperwork ready for the academy to facilitate the interview process.

• To carry out online checks for shortlisted candidates.

• To request references for shortlisted candidates.

• To discuss interview outcomes with the recruiting manager and make job offers for all successful candidates, through issuing of conditional job offer letters, in line with Trust templates.

• To advise candidates when they have been unsuccessful, either at the shortlisting stage or after interview.

• To complete all pre-employment checks for new employees, as required by KCSiE and Trust policies. To communicate progress to the recruiting manager in a timely manner, including where there are any issues or delays.

• To refer any issues with pre-employment checks to the Head of Recruitment and Resourcing or the relevant People Partner.

• To support the Head of Recruitment and Resourcing in preparing and ordering goods for marketing campaigns

• To use the correct branding throughout all recruitment activity both internally and externally 

• To deal with ad hoc issues around recruitment which might arise, involving recruiters and candidates.

• To issue a contract of employment to new employees, ahead of their start date.

• To carry out the onboarding process for all new starters, ready to hand over the process to the academy on the employee’s start date.

• To liaise regularly with colleagues to ensure new starters are accounted for and ensuring induction paperwork is completed and returned completed for HR file. Records and data

• To enter all new starters to the Trust’s payroll system in a timely manner in advance of them starting with the Trust.

• To ensure that all HR electronic files are compliant in line with relevant legislation/ GDPR retention periods and assist with audit and inspection processes. Safeguarding & the Single Central Record (SCR)

• To ensure that all new employees are added to the SCR; recording all pre-employment checks and onboarding activities and ensuring compliance.

• To ensure all relevant recruiting managers have completed safer recruitment training, maintaining the central record accordingly General Responsibilities • To undertake filing on a regular basis and any archiving when necessary

• To ensure that all correspondence and documents created are saved correctly on our HR Shared Drives in a logical and structured fashion • To assist with any ad hoc projects as and when required

• To attend all relevant team meetings and provide input

• To ensure that all aspects of data protection and confidentiality are maintained at all times

• To identify any improvements that will allow us to undertake administration in a more efficient and timely way Generic Responsibilities of all Active Learning Trust Employees

  • Service Delivery: Delivers excellent customer service on a range of HR queries and requirements, providing solutions, advice and support primarily to managers. Builds managers’ expertise in HR matters, improving their ability to handle repeated situations themselves where appropriate. Uses agreed systems and processes to deliver service to customers. Takes the initiative to meet agreed individual and team KPIs in line with company policy, values, standards. Plans and organises their work, often without direct supervision, to meet commitments and KPIs.
  • Problem Solving: Uses sound questioning and active listening skills to understand requirements and establish root causes before developing HR solutions. Takes ownership through to resolution, escalating complex situations as appropriate.
  • Communication & Interpersonal: Deals effectively with customers/colleagues, using sound interpersonal skills and communicating well through a range of media eg phone, face to face, email, internet. Adapts their style to their audience. Builds trust and sound relationships with customers. Handles conflict and sensitive HR situations professionally and confidentially.
  • Teamwork: Consistently supports colleagues /collaborates within the team and HR to achieve results. Builds/maintains strong working relationships with others in the team and across HR where necessary.
  • Process Improvement: Identifies opportunities to improve HR performance and service; acts on them within the authority of their role. Supports implementation of HR changes/projects with the business.
  • Managing HR Information: Maintains required HR records as part of services delivered. Prepares reports and management information from HR data, with interpretation as required.
  • Personal Development: Keeps up to date with business changes and HR legal/policy/process changes relevant to their role. Seeks feedback and acts on it to improve their performance and overall capability.
  • Your training plan

    • The learner will be studying the HR Support Level 3 Apprenticeship standard qualification.
    • Functional skills will be studied if equivalent qualifications are not held.

    GCSE or equivalent in:

    • Maths and English (grade 4)

    Other requirements

    Although this role involves recruiting for schools, the role is part of the central team and is not based in a school. Most of the work is computer based. There will be a requirement to talk on the telephone with schools and candidates.

    The apprenticeship could lead to a permanent role as a Recruitment Administrator. The role will provide a good grounding in HR administration, which would be an excellent start to any career in HR. Although the experience will be in education, the skills are transferrable to any sector.
