Summary

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone, along with receptionist/admin duties.

Monday to Friday, times to be confirmed. The practice opening times are 8.00am - 6.00pm, there is a paid 20 minute break if you work a six hour shift (or age related as per statutory requirements). Shifts allocated once recruited.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

Roles and responsibilities:

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
  • Mark patients and visitors as arrived on the electronic appointment system
  • Deal with all general enquiries regarding medical advice request/medication queries and relay these to the doctor
  • Explain procedures and make new and follow-up appointments
  • Receive and make telephone calls as required
  • Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery
  • Enter patient information on to the computer as required, ensuring that this is entered onto the correct patient. The information must be relevant and accurate
  • Enter requests for home visits ensuring careful recording of all relevant details and pass these on to the doctor within the appropriate timescale
  • Take repeat prescription requests
  • Post – opening and direct to GP
  • Scanning patient documents into the patient's electronic health record
  • Using your own judgment and communication skills; ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary care and ensure procedures are completed
  • Constructing patient records
  • Collating patient medical records received from the Health Authority into patients’ practice notes
  • Filing and retrieving patient correspondence and records
  • Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to
  • Ensure correspondence, reports, results etc are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen
  • Ensure records are kept in good repair with all necessary information on the outside cover clearly visible

These are only some of the duties that will be expected in this position, other tasks will be expected as the apprentice is trained

  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation).     Elm Tree Surgery is a rapidly expanding five Partner practice in purposely refurbished premises in Thornaby with a patient list size of approx 9000. We are a forward looking and innovative teaching practice, providing more than just General Medical Services. We are a high achieving QOF practice and have a Good CQC rating. We believe in investing in people and have seen many members of staff go through various training courses to enhance their learning and the service offered to our patients. We have a clinical team of 5 GP Partners, 2 Salaried GPs, 2 Nurse Practitioners and a team of Practice Nurses, a HCA, and a Phlebotomist.
