Summary

This is a great opportunity for somebody to work and learn as a Customer Service Apprentice. You will play a vital role in providing exceptional customer service, whilst learning and developing essential skills in customer interaction, problem-solving, and the use of our CRM system.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

Responsibilities:

  • CRM System Management:
    Learn and become proficient in using our company's CRM system.
    Accurately input and maintain customer information, call notes, requests, and appointment changes (e.g., rescheduling, cancellations).
    Ensure the CRM system is up-to-date and reflects the most recent customer interactions.
  • Proactive Customer Engagement:
    Reach out to customers with canceled appointments to understand the reasons behind their cancellations.
    Actively listen to customer feedback and identify areas for improvement in our services.
    Propose solutions and suggestions to enhance customer satisfaction and prevent future cancellations.
  • Customer Service:
    Provide excellent customer service through phone calls, emails, and other channels.
    Resolve customer inquiries and complaints in a timely and professional manner.
    Build strong relationships with customers and foster customer loyalty.
  • Continuous Learning:
    Participate in training programs and workshops to develop your customer service skills.
    Stay updated on industry trends and best practices.
  • Chatbot Development (Optional):
    If interested in AI and technology, you will have the opportunity to learn, create, and implement a chatbot to automate repetitive customer queries.
    This will allow you to focus on more complex interactions that require your personal attention.

  • Use a range of questioning skills, including listening and responding in a way that builds rapport, determines customer needs and expectations and achieves positive engagement and delivery.
  • Depending on your job role and work environment: Use appropriate verbal and non-verbal communication skills, along with summarising language during face-to-face communications; and/or
  • Depending on your job role and work environment: Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
  • Depending on your job role and work environment: Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
  • Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
  • Be able to organise yourself, prioritise your own workload/activity and work to meet deadlines.
  • Demonstrate patience and calmness.
  • Show you understand the customer’s point of view.
  • Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
  • Maintain informative communication during service recovery.

    Essential qualifications

    GCSE in:

    • 4 GCSE’s including Maths and English (grade 9-3 (A*-D))
