Summary

An exciting opportunity has arisen with Board 24 to become an Apprentice Transport Administrator. This will be a varied & busy role providing a professional administration service in booking deliveries and planning loads to maximise load fill and delivery slots. With the aim to gain a Level 3 Business Administration qualification.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

On a day-to-day basis as an apprentice, you will be doing the following:

  • Effective customer liaison
  • Efficient planning to maximise load fill and delivery slots
  • Optimising customer on time in full (OTIF) expectancy
  • Liaison with the hauler for effective transport planning of 50 to 80 loads per day
  • Booking deliveries with customers
  • Efficient processing and checking of delivery invoices
  • Working co-operatively with other departments within the business
  • Accuracy of completing tasks to a high standard
  • Efficient query investigation and resolution
  • Building and maintaining good working relationships with customers
  • Building and maintaining good working relationships with key business stakeholders
  • Compliance with workplace policies and procedures for risk identification, risk assessment and risk control
  • Active participation in activities associated with the management of workplace health and safety
  • Identification and reporting of health and safety risks, accidents, incidents, injuries and property damage at the workplace

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate.   • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.
  • Your training plan

    • All aspects of your training will be delivered on-site with your employer.
    • As an apprentice you will receive from your employer 6 hours each week for your off the job training, this included as part of your working weekly hours. Off the job training is there to help with your learning and development of the knowledge, skills and behaviors as part of your apprenticeship standard. Majority of these 6 hours will be spent on site with your mentor learning, along with having time set aside away from your normal day to day working environment for you to complete study time in which will help you with the completion of targets set by your assessor (e.g. workbooks, online learning, research, self-study). You will also have regular site visits every ten to twelve weeks from your designated assessor, who will monitor your progress throughout your apprenticeship program.

    • GFTS Ltd. are specialists in qualifications for the Glass, Glazing and Fenestration Industries on a national scale. We pride ourselves on the quality of the training we deliver. At GFTS we emphasise the importance of a ‘Train, Gain & Retain’ attitude to the learning and make every effort to deliver industry recognised qualifications in an effective and bespoke manner. Although our industry specialty is in the delivery of Fenestration Training, our assessors are each skilled in their own specialist discipline.
    • This apprenticeship is a mentor led qualification based at site. As an apprentice you will learn all practical elements on site with your mentor which will help you develop your Skills and Behaviours as part of the apprenticeship standard.
      There is no need for any college days and no additional travel required. Our assessors are able to carry out classroom sessions, observations or site visits every 10-12 weeks to support you through the knowledge elements of the standard in small segments throughout the duration of the apprenticeship, in preparation for End Point Assessment (EPA). Everything for your apprenticeship will need to be completed within your working weekly hours each week in which you will spend 6 hours per a week learning and studying towards your apprenticeship.

    • Please note that interviews may take place before the vacancy close date and the successful applicant may start before the advertised start date. • The successful applicant should have a very high attention to detail, ensuring information is correctly entered onto our systems and understand what our customers require. We are a customer centric business and rely on our transport/despatch team to be at the forefront of that. A strong willingness to proactively communicate with our customers on a very regular basis is essential - this is primarily email and also by telephone. Being a strong listener, who is inquisitive and keen to find solutions will fit well as we strive to build long lasting relationships. Calmness in working within tight deadlines and remaining professional at all times is a fundamental attribute for the role. Comfortable working co-operatively within a tight team of 3 people is also important. • It’s a fast paced environment so the successful applicant needs to be able to pick up their learning and apply it quickly. Preston is our biggest of the 3 sites and is set to grow in volume over the coming year. We have 2 corrugators and one of our biggest customers is served from Preston. • The site works 24/5 plus x2 12 hour shifts at the weekend.
