Summary

We are looking to recruit an enthusiastic Receptionist/Administration Apprentice to support our busy front office. You will have day to day contact with school staff and pupils. You will be dealing with queries from parents, Governors, KCC Departments and other agencies. Responsibilities include all aspects of school administration and support.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

The role will include all aspects of delivery and administration for a large primary school. You will be required to support the executive management team as well as deal with the individual needs of class teachers.

  • Undertake a diverse range of secretarial duties to ensure well presented and accurate correspondence, reports and other documentation.
  • Provide a first point of contact for pupils and parents at reception and via telephone. Deal with any problems that arise in the first instance or refer them on to ensure that problems are dealt with effectively.
  • Maintain and update all pupil database files and staff files for absence, documents, correspondence and Department for Education and Employment forms, including forms for other agencies, to assist the Headteacher and teaching staff.
  • Collate and monitor applications for admissions, including new intake of pupils; provide prospective parents with information on the school; enter new intake onto the Pupil Database, ensuring that the necessary procedures are complied with.
  • Complete relevant forms for pupils leaving the school; update the Pupil Database; and send pupils files and record cards to the relevant secondary schools to ensure that procedures are complied with.
  • Collate numbers of pupils requiring meals, process paperwork for free school meals and put in orders to ensure that all pupils requiring school meals receive them. Update ‘dinner money’ spreadsheet to ensure correct financial procedures are followed.
  • Undertake the recording and banking of all monies in connection with swimming, school uniform, school journeys, dinner moneys and outings in order to comply with financial regulations and audit procedures.
  • Deal with any emergency issues in the absence of office colleagues to ensure the efficient running of the school office is maintained.
  • Organising the running of school clubs and school trips
  • Liaising with teachers, parents, and other professionals including social workers
  • Updating school website and social media

    Interview - We will be interviewing candidates who meet the criteria as they apply and will recruit after a successful interview which may be before the closing date. Reality Check - You will be responsible for your travel expenses to and from your place of work. Therefore, you must have the means to get to your place of work daily whilst waiting for your first wages to be paid.
