Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

To provide administrative support to the GP surgery, assisting in
the efficient and effective delivery of healthcare services. The
apprentice will gain hands-on experience in various administrative functions within the practice, contributing to the smooth operation
of the surgery while completing their apprenticeship program.

Key Responsibilities:
1. Reception Duties:

  • Greet patients and visitors in a friendly and professional manner.
  • Answer telephone calls, manage appointment bookings, and handle patient inquiries.
  • Register new patients and update existing patient records.
  • Dealing with patients queries and concerns and directing them to the appropriate member of staff.
  • Dealing with patients’ prescriptions.

2. Administrative Support:

  • Assist with the preparation and maintenance of patient files and records.
  • Help with data entry tasks, ensuring accuracy and confidentiality.
  • Assist in the preparation of reports and documents as needed.

3. Finance and Accounts:

  • Assist with processing invoices and payments.

4. Supplies and Inventory:

  • Help with ordering supplies and managing inventory levels.
  • Ensure the practice is stocked with necessary items (e.g. office supplies, refreshments) and informing the Practice Manager when low.

5. Facilities Management:

  • Assist in maintaining the practice premises, liaising with the Practice Manager.
  • Ensure a clean, safe, and welcoming environment for patients and staff.


6. Policy and Compliance:

  • Help in the development and implementation of practice policies.
  • Assist with ensuring compliance with all relevant regulations and policies, including health and safety.

7. Patient Interaction:

  • Provide excellent customer service to patients,ensuring their needs are met.
  • Assist with patient communications, including appointment reminders and follow-up calls.

  • Depending on your job role and work environment: Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
  • Depending on your job role and work environment: Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
  • Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
  • Be able to organise yourself, prioritise your own workload/activity and work to meet deadlines.
  • Demonstrate patience and calmness.
  • Show you understand the customer’s point of view.
  • Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
  • Maintain informative communication during service recovery.

    • Level 2 Customer Service Practitioner qualification
    • Apprentices who have not achieved the equivalent of level 2
      qualifications in maths and English, will need to achieve level 1
      functional skills in these and work towards level 2 Functional Skills.
    • Apprentices will be allocated a Trainer Assessor and training will be planned and delivered in conjunction with the employer to meet
      the individual needs of the apprentice.
    • The apprentice will spend 20% of their working hours in off the job activities and training.
    • On the job and off the job training will be delivered in the workplace.

    Essential qualifications

    GCSE or equivalent in:

    • English (grade C/4 or above)
    • Maths (grade C/4 or above)

    Other requirements

    Previous experience in a customer service or administrative role. Interest in healthcare and medical services. Strong communication and interpersonal skills. Good IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook). Ability to maintain confidentiality and handle sensitive information. Attention to detail and good organisational skill

    Plain View Surgery is a well-established, busy, friendly, and caring GP practice based in Mapperley. The practice has a list size of 8900 patients and a CQC rating of Outstanding. We use a clinical system called SystmOne and we are in a modern, purpose -built building. The surgery is located within walking distance to several bus routes and shops.
