Summary
The successful applicant will be part of an administration team and be the main point of contact with the Care homes and other stakeholders. They will work to ensure the smooth running of the day-to-day FICHS service from an administrative point of view.

Work
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you’ll do at work
- To work with the Care Homes to ensure that all paperwork is completed efficiently and ensure there is a smooth process in place
- To be able to work as part of a team or on their own and be accountable for their own workload
- To ensure ward round lists and acute slots are added daily
- To oversee the FICHS inbox and action appropriately To collate
- and action care home registrations in a timely manner To send the

- Check and send ward round schedules weekly
- Add hospital admissions and discharges to ward rounds Email

- To build on relationships with the Care Homes and ensure that patient care is at the centre of this
- To attend any meetings as necessary at care homes or in practice
- Recognise the importance of effective communication within the team and will strive to communicate effectively with all the team members to a professional and high standard
- Strive to maintain quality within the FICHS team and alert others to issues of quality and risk
- Assess own performance and take accountability for own actions either directly or whilst under supervision
- Any other duties as delegated by the management team

Course contents
- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
- Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.
Your training plan
The candidate will follow a Level 3 Apprenticeship programme and study towards a full Standard as a Business Administrator. This training will be structured and delivered by Cheshire College – South & West. If the candidate does not hold GCSE grades A*-C (9-4) or equivalent, they will be required to complete a Level 1 Functional Skill in the relevant subject.

Other requirements
Excellent communication skills both written and verbal, be able to multitask. Ability to work with Microsoft Office applications such as Outlook, Excel, PowerPoint and Word, good attitude towards learning, friendly, team player.

Fountains Medical Practice is a modern vibrant medical practice based in Chester City Centre. The successful applicant would be expected to carry a number of tasks including, deal with telephone calls from the Care Homes, update the clinicians session on the clinical system and action any admin tasks as directed by team supervisor. All of which contribute to the smooth running of the business. Excellent communication skills and a friendly attitude is required, as well someone who wants to progress and is adaptable to change in a fast-paced environment.
