Summary

To provide support to PFAS as the business adapts following recent new business wins. This will be a varied role working with the Commercial & Finance team to support the ongoing management of the business, and in ensuring that we can successfully meet our responsibilities to our contract partners, the IPRS Group and our other stakeholders.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

This role will need to work with a diverse range of stakeholders, including but not limited to, IPRS Group departments (HR/Finance/IT/ Compliance) and the PFAS teams working on delivering our contracts.

Main job duties: Finance

• Supporting the Commercial Finance Manager with month end close activities.

• Administering the Purchase Order process and approvals.

• Accounts receivable / payable / expense claims.

• Supporting the Finance manager with preparing incentive calculations ready for review and submission to Payroll.

• Collating data and reports.

• Involvement in ad-hoc short and long-term projects.

• Bank reconciliations.

• Central contract register.

• Undertaking other tasks as directed by the Commercial Finance Manager.

Main job duties: Other

• DSE – Ordering items identified in DSE assessments liaising with IT where relevant.

• Estates – Supporting us in meeting H&S and other obligations around assessment sites.

• Stock – Work with UCs / CSRs to ensure assessment sites have adequate stationery and refreshments for staff.

• Social Value – Supporting the team in meeting contractual obligations.

• Continuous Improvement – Supporting the team in meeting contractual obligations.

• Contract Governance – Supporting the Contract Account Manager in meeting contractual obligations.

• Travel / Meetings – Working with the team to ensure best value for travel and meetings rooms.

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. About this company

Personal Functional Assessment Services Ltd (PFAS) is part of the IPRS Group and is head quartered in Claydon, Suffolk. The IPRS Group is made up of four companies which are all healthcare related i.e. IPRS Health, IPRS Mediquipe, IPRS Aeromed and PFAS. PFAS works on behalf of the Department for Work and Pensions delivering assessment services across two benefits, Personal Independence Payment (PIP) and Workplace Capability Assessment (WCA). PFAS works as part of the delivery capability covering the Southeast and Southwest of the England through a network of thirteen assessment centres. PFAS staff consists of approx. 200+ clinically trained staff delivering assessments with the rest being operationally trained. Assessments are either delivered face to face through one of our assessment centres or remotely via telephone or video call.
