Summary

We are seeking an enthusiastic and dedicated IT / Systems Apprentice to support our day-to-day data and IT operations. This role is crucial in maintaining and advancing our digital infrastructure, ensuring smooth operations across various systems and devices for a team of 20 on-site employees and 60 subcontracted therapists working remotely.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

1. Device Management and Maintenance

   - Set up, maintain, and troubleshoot Apple devices (iPhones, iPads, MacBooks, and iMacs).

   - Ensure all software on these devices is up-to-date and functioning correctly.

- network, wifi and broadband functionality and troubleshooting

2. Office 365 Support

   - Oversee the day-to-day use of Office 365 across the organisation, ensuring we’re maximising its capabilities and functions

   - Some training and support of the team

   - Collaborate with external IT providers to troubleshoot issues and support users.

3. FileMaker CMS Development and Management (some experience of data base management, and willing to work towards this)

   - Maintain and improve our CMS built on FileMaker, ensuring it meets user needs and is optimized for future development.

   - Work with stakeholders to identify and implement additional functionalities as needed.

- Extracting data and report generation

- Utilising APIs to maximise the CMS functionality and data / outcome reporting

4. Data Protection and Compliance

   - Act as the Data Protection and GDPR lead, ensuring data privacy and security across all IT systems (training available)

   - Regularly update Cyber Essentials, NHS Digital, and other compliance policies, ensuring annual reviews and adherence.

5. Manage Central Filing System

   - Oversee the organization’s central filing system on SharePoint, ensuring efficient file management and access control.

   - Develop and implement organisational best practices for digital file storage and retrieval, version control and utilisation of effective apps

6. Process Improvement through Technology

   - Explore and integrate AI and other advanced technologies to streamline workflows, reduce manual effort, and enhance team efficiency.

   - Identify opportunities for system automation and process optimisation to support organisational goals

7. Website management

- Managing and developing aspects of our website (built on webflow) (training available) to ensure it is secure, attractive, fully functional and up-to-date

  • Interpret and prioritise internal or external customer's requirements in line with organisation's policy
  • Apply the appropriate tools and techniques to undertake fault finding and rectification
  • apply Continuous Professional Development to support necessary business output and technical developments
  • Operate safely and securely across platforms and responsibilities maintaining the security of personal data of internal and external stakeholders
  • Communicate with all levels of stakeholders, keeping them informed of progress and managing escalation where appropriate
  • Develop and maintain effective working relationships with colleagues, customers and other relevant stakeholders
  • Manage and prioritise the allocated workload effectively making best use of time and resources
  • Complete documentation relevant to the task and escalate where appropriate
  • Install or undertake basic software upgrades,either physically or remotely
  • Establish and diagnose the extent of the IT support task, in line with the organisation's policies and Service Level Agreements
  • Provide remote/F2F support to resolve customer requirements
  • Maintain a safe working environment for own personal safety and others in line with Health & Safety appropriate to the task
  • Identify and scope the best solution informed by the system data associated with the task
  • Test and evaluate the system's performance and compliance with customer requirements.
  • Escalate non routine problems in line with procedures
  • Use basic scripting to execute the relevant tasks for example PowerShell, Linux
  • Carry out routine maintenance across systems, (such as IT, Communications), ensuring organisational compliance at all times
  • Apply the necessary security, in line with access and/or encryption requirements
  • Use a range of Cabling or Connectors equipment in line with technical requirements for example physically or remotely
  • Test and evaluate network environments
  • Monitor performance and usage of a network
  • Deploy applications on a network
  • Set up storage and data access for staff
  • Apply necessary security measures, in line with access requirements to a network
  • Carry out routine maintenance across network systems, ensuring organisational compliance
  • Monitor network-related workloads including DNS and firewalls
  • Install or undertake basic upgrades, either physically or remotely
  • Establish digital communication or telecommunications systems through, for example cabling and connecting equipment.
  • Identify a range of tools and or diagnostic equipment, for example, Hardware or Software components, to resolve Communications or Telecommunications requirements.
  • Undertake basic telecommunications activities, in response to an allocated task, designated responsibilities, instructions or customer’s requirements.

  • The training will be with our technical support team and FileMaker system developers and will involve both online sessions and in-person workshops. These sessions will focus on enhancing technical skills and system-specific knowledge, ensuring a comprehensive learning experience.

Survivors In Transition supports all survivors of all ages, of all genders who have experienced any form of sexual violence or sexual abuse regardless of when this happened or whether it has been reported or not. To oversee the technical support for Survivors in Transition and oversee the IT infrastructure for two client centers and 60+ Sub contracted therapists working remotely over 6 counties.
