This is an exciting opportunity to work within a well-established, local business providing support to the team and developing your own knowledge of the industry. This is a varied role giving you the opportunity to be part of the various aspects of sales and lettings.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

Main duties:

  • Develop daily business opportunities
  • Registering applicants for sales & lettings
  • Meeting lettings targets
  • Servicing existing clients on the database
  • Arranging appointments and carrying out viewings
  • Preparation of lettings and sales particulars, in conjunction with the Valuer, checking of background details and emailing relevant applicants when required
  • Dealing with incoming calls to the departments.
  • Dealing with property viewings, screening and maintaining the diary
  • Management of tenant applications when required
  • Preparation of legal and financial documentation when required
  • Overseeing of properties, including inspections visits and
  • Landlord Gas Safety Certificates when required
  • Landlord and tenant liaison as necessary
  • Vendor and buyer liaison as necessary
  • File maintenance within software systems and property files
  • Maintaining and updating applicant register on software systems as necessary
  • Report maintenance issues to Landlords and instruct contractors when required
  • Manage pre-tenancy inspections to ensure all legal requirements are met prior to tenancy commencing
  • Keep up to date and liaise with Managers on current, new and changing legislation
  • Complete right to rent checks
  • Attend check out inspections and prepare relevant paperwork with photographic evidence
  • Liaise with accounts department as necessary
  • Strive to meet set targets within the departments
  • Preparation of inventories and management of inventory photographs when required
  • Overseeing collection and maintaining up to date records on contractors including liability insurances and compliance procedures
  • Monitor actions raised at weekly and monthly meetings
  • Follow current Anti Money Laundering Regulations Policies and Procedures
  • Completion of all relevant sales and lettings checklist
  • Maintenance of the mailing list database
  • Advise potential buyers and tenants with suitable properties
  • Management of key cupboard and release of property keys when required
  • Ensure referral targets are met on a monthly basis
  • Collate viewings feedback
  • Dealing with sales offers with required
  • Assisting the valuer and lister when required
  • General word-processing/secretarial duties ensuring accuracy and quality are maintained and deadlines met
  • Maintain effective systems and procedures and ensure continuity of quality, presentation and style.
  • Deputise for colleagues within the department as necessary
  • Ensure a concern for excellence is evident in all materials/documentation produced and all other supported activities
  • Carry out research as required
  • Liaise with and support other offices as necessary in all aspects of lettings function
  •  Co-ordinate with new Landlords to ensure they are kept updated with the progress of their property, including sending terms and conditions, monitor return to ensure received prior to letting taking place
  • General filing, administration duties, collating/compiling of documents and photocopying as necessary

Course contents
  • To demonstrate an understanding of the competitive market-place and commerciality of Estate Agency, Innovation, recognising opportunities and referrals.
  • To be able to organise and plan work in a flexible manner to ensure tasks are prioritised and completed within agreed timescales.  Show effective decision making in order to ensure work and tasks are completed in line with instruction and on time, including the principles of productivity, diary management, prioritising, targets/objectives and to understand task setting.
  • To be able to work effectively with internal colleagues and external partners to achieve individual, team and business targets, identify solutions to problems, appreciate the importance of team working, and understand job roles and where they fit within the team.  To use appropriate communication and interpersonal skills such as active listening, engagement and managing ambition. 
  • Know how to manage the relationship with the customer.  Know the importance of written, verbal and non-verbal communication (including body language), email, letter, telephone and personal etiquette. 
  • Appropriate use of social media sites, ie. Facebook, Twitter, LinkedIn, and smartphone applications. 
  • Effective use of IT equipment and software, including specific sales and lettings packages, phone systems, use of mobile phones, measuring devices, dictation machines, damp meters, touch typing, cameras, PCs/laptops/tablets, multifunction copiers, cloud data systems (and data compliance), safety devices.
  • To be able to demonstrate presentation skills, viewing and selling properties, cross selling, lettings and referrals.  Standard methods of concluding sales; understanding needs. 
  • To have an understanding of active listening, active questioning, empathy, handling difficult people and situations, objection handling, public relations and research.  To be inquisitive, respectful, polite and know how to take control of a negotiation conversation.
  • Be able to apply a range of administrative skills in order to support the range of estate agency activities and related services.  An understanding of the importance and use of digital and hardcopy records, including appropriate software packages. Diary management, filing, making and receiving telephone calls.
  • Demonstrate both spoken and written ‘business English’ and the difference between internal and external communications etiquette (email, letter, telephone) and numeracy (use of percentages).  
  • Your training plan

    Training will take place within the work place supported by the assessor through regular visits and reviews. An online portfolio is also used where tasks are set and progress is monitored.

    They are looking for someone who can become a permanent member of the Monks family. Monks offer CPP and the possibility of becoming a member of the National Association of Estate Agents (MNAEA) or National Association of Letting Agents (MARLA) once the qualifications and exams have been passed (Level 3 Award).
