Summary

As Citizen’s Procurement Apprentice, you'll be key in sourcing and acquiring goods, works and services, ensuring excellent services for our customers. You'll develop essential life and soft skills, gain procurement knowledge, and have the opportunity to pursue a CIPS Level 3 or 4 apprenticeship.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • Assist the Procurement team in delivering an excellent, proactive, comprehensive, and compliant procurement service to employees across the organisation
  • Support the team in providing advice, guidance, and best practice procurement strategies, including identifying, assessing, and managing potential risks
  • Help ensure compliance with the Procurement Strategy, Policy, and Procedures, as well as UK Procurement Regulations and other legal requirements
  • Contribute to achieving cost savings and quality/service improvements through effective tendering and procurement activities
  • Assist in monitoring and managing contracts for works, goods, and services, and support the integration of social value benefits into the Environmental Social Governance Reporting Framework
  • Learn and implement best procurement practices and help disseminate these practices within the organization
  • Help manage key procurement information, including the Contract Register, Sourcing Plan, and Benefits Register & Spend Analysis
  • Assist in delivering effective procurement communications and training to colleagues, customers, suppliers, and other stakeholders

Responsibilities:

Procurement:

  • Support implementation of the Procurement Strategy, Policy, and detailed Procurement Procedures, which ensure that we attains value for money, complies with internal and external regulations and delivers Social Value to the communities in which it operates.
  • Assist the procurement team in leading and managing procurement projects to deliver works, goods, and services, which meet or exceed customer requirements
  • Support in leading and managing the delivery of a social value framework ensuring supplier commitments are identified and monitored during the procurement process and contribute to Citizen’s Environmental Social Governance Reporting Framework
  • Assist in the Development of Excel workbooks and databases to collate, manipulate and analyse spend data and information from the business to produce management information to assist procurement stakeholders and the Procurement team to make business decisions and inform the business

Course contents
  • Monitor and order products, stock, equipment and services at appropriate times using the appropriate procurement method.
  • Communicate to procurement's internal stakeholders, suppliers and other stakeholders in order to develop effective relationships and networks
  • Create, maintain and amend purchase order and contract records.
  • Interpret, evaluate and compare procurement information such as historical spend and usage using databases and spreadsheets.
  • Present findings and data in all formats e.g. mathematically, written and oral.
  • Determine value for money (VFM) and added value through the use of Total Cost of Ownership during the evaluation process, and apply the most economically advantageous tender (MEAT) criteria to the evaluation of quotes and tenders to support the recommendation at award. This may include the inclusion of green, low carbon, sustainability, and ethical criteria.
  • Utilise relevant Procurement computer systems or internal databases.
  • Select the supplier of the most appropriate products and services for purchases within their remit and place purchase order.
  • Undertake appraisal of adhoc and low spend suppliers including setting them up on the purchasing system.
  • Effectively research and analyse demand, spend, trends, potential suppliers and industries utilising qualitative and quantitative methods.
  • Develop specifications of requirements and requests for quotes/tenders in line with organisational requirements.
  • Apply considerations of responsible procurement in evaluating potential suppliers, quotes and tenders.
  • Investigate and resolve purchase order, delivery and invoice queries.
  • Own low risk value projects such as supply contracts for stationery, personal protective equipment (PPE) or other consumables, and contribute to higher risk activities such as contracts for building services or machinery, and track, log, expedite and review outstanding orders and stock availability where applicable.
  • Maintain knowledge on all open orders and their status' and provide assistance to all purchasing staff e.g. expediting and feeding information back to the relevant stakeholders.
  • Able to consider the impact of the decision making process when interacting with the supply chain.
  • Able to support the contract negotiations and mini competitions with suppliers.

    Essential qualifications

    GCSE in:

    • Has a Minimum grade C / 5 in English and Maths. (grade C)
