Summary

Headland Medical Centre are looking for an apprentice to join their practice, to undertake reception and administrative tasks within the small friendly GP surgery. The successful applicant will complete a level 2 Customer Service apprenticeship. If you're friendly, confident, and well mannered you should apply for this role!

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • Greet and welcome patients and visitors to the practice
  • Book in patients/visitors who attend for appointments
  • Respond and/or redirect all patient and visitor requests appropriately
  • Book, amend and cancel patient appointments
  • Registration of new patients onto the computer system
  • Issuing computerised repeat prescriptions and preparing them for signing
  • Answering incoming telephone calls and responding to e-mails, ensuring information is documented, redirected and/or actioned accordingly
  • Ensure answering machine service for out of hours information is directed appropriately – switched to answer machine at close of practice and surgery each morning
  • Administrative duties such as summarising, scanning and coding.
  • Opening, stamping and distributing internal mail and hospital correspondence
  • Scanning hospital letters and results on to the computer
  • Work safely at all times in accordance with Legislative requirements and Practice Policy and Procedures

  • Depending on your job role and work environment: Use appropriate verbal and non-verbal communication skills, along with summarising language during face-to-face communications; and/or
  • Depending on your job role and work environment: Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
  • Depending on your job role and work environment: Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
  • Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
  • Be able to organise yourself, prioritise your own workload/activity and work to meet deadlines.
  • Demonstrate patience and calmness.
  • Show you understand the customer’s point of view.
  • Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
  • Maintain informative communication during service recovery.

    • Maths and English Functional Skills if required - if not required, Maths and English upskill will still be provided but you do not need to sit an exam

    Essential qualifications

    GCSE or equivalent in:

    • English (grade 4 / C and above)
    • Maths (grade 4 / C and above)
