Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • This is a diverse role to support the administration function within a primary school setting

  • This role will provide front of house support, liaising with families and pupils

  • The post holder will be responsible for answering the school phone and dealing with low level queries, taking messages and feeding back to appropriate staff

  • The role will involve supporting the admin team with data input in terms of attendance, school lunches and invoices

     

  • The role may also involve placing online orders and checking stock upon delivery, typing letters, organising school clubs on the virtual system, in addition any other task deemed appropriate under the supervision of the school admin team

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate.   • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.
  • Your training plan

    • Level 3 Diploma in Business Administration

    • The course will run over 18 months and includes an End Point Assessment as part of the apprenticeship standards. This takes place after 15 months on the programme and is carried out by an external examiner. It operates on a roll on/roll off basis, so enrolment can be accommodated throughout the year.

    There are 2 parts to the apprenticeship:

    • On programme training/practical training period (0-15 months) – where the candidate completes a C&G qualification (L3 Diploma for Business Administrator)
    • End Point Assessment (15-18 months) – the candidate has to provide evidence of certain Knowledge, Skills and Behaviours mainly through work produced for the diploma

    At the end of the apprenticeship, they then have to do 3 things to pass an End Point Assessment carried out by the awarding body.

    1. Pass a multi choice exam on the knowledge gained

    2. Submit a portfolio of evidence on which they will be interviewed by an external examiner

    3. Project presentation – from a project done for the qualification, presented to external examiner

    Hartlepool College of Further Education operate the course on a day release basis for Level 3, this could either be a Wednesday or Thursday depending on date of enrolment. Sessions are delivered between 9.00-5.00 as well as self-study time to complete tasks issued. This currently operates as a blend of virtual sessions via MS Teams and classroom-based delivery on site at the college. Observations in the workplace also need to take place.

    Other requirements

    The candidate may want to consider supporting a school club or supporting the wrap around care to gain experience and interaction with pupils. The role may involve the unpacking and dissemination of stock upon deliver to the school. These would include the transportation of food produce and stationery within the school. The role may involve some outside work to support break and lunch duties and to assist children between the infant and junior buildings as and when required.

    After this apprenticeship

    • The qualification will demonstrate the learner’s ability and competency to carry out a range of administrative tasks
    • After completing the Level 3 Diploma in Business Administration, individuals can progress onto the further apprenticeships in Team Leading and Supervising
    • Alternatively, they can consider going down more specialist routes, for example accounting, HR or marketing
