Summary

To provide administrative support to the Practice (Affinity Wealth) and the Practice Principal. To ensure the efficient processing of business, effective management of day to day tasks and that our clients receive the expected high level of service when contacting the practice.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • Answer incoming calls, responding to client queries or where appropriate.
  • Manage the reception desk and initial client contact.
  • To manage the Principals diary booking in all relevant commitments.
  • To help manage the Principals ‘To do’ system.
  • To manage the general Practice post, answering client mail or distributing as appropriate.
  • To contact clients prior to adviser meetings to confirm appointments and obtain up to date information in line with practice processes and adviser requirements.
  • To prepare documentation for initial meetings with prospective clients using a Check List to practice standards.
  • To ensure all records of clients’ personal details, plans and contact history.
  • To obtain quotations and illustrations and supporting documentation in preparation for client meetings.
  • To obtain valuations and information clients existing policies and investments.
  • Prepare provider responses for entry onto ACP system.
  • Manage responses from the ACP system in liaison with the Practice Principal/relevant adviser.
  • Prepare Illustrations for critical illness, disability and life insurance needs.
  • Prepare proposals for the solution that the planner has selected for the client including approved product illustrations and literature and establish details on the chosen investment platform where applicable.
  • To administer the submission of applications to platform/product providers and monitor relevant systems to ensure accuracy and/or acceptance.
  • Produce Client Suitability Reports for personalising and sign off by the Practice Principal/Adviser.
  • Manage the internal processing system (ConcertHub) to ensure the delivery of ongoing service requirements, maintaining accurate ConcertHub and CRM records.
  • To manage ad hoc client administration including elements such as withdrawals, changes of address, requests for documentation etc.
  • Provide ad hoc research and administrative support to the Principal/adviser as and when required.
  • Assist in the management of client relationships.

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.
  • Your training plan

    • A level 3 Business Administrator Apprenticeship course will be delivered simultaneously to this by our external provider, Mercuri.
    • This course is made up of blocks which cover all aspects of the role, and it is delivered via a mixture of online and face to face teaching over a 12-18-month period.
