Summary

To support the HR Department and Senior Leadership Team in the administration of general duties in relation to all Personnel, Payroll, Absence Management, Recruitment and other HR and Governance related administration.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • Undertake all administrative duties relating to HR procedures and liaise with the HR Manager as required
  • To manage and maintain the personnel file system and all associated documentation processes, ensuring confidentiality and adherence to Data Protection legislation at all times
  • To complete all required documentation for employee contracts (such as starters, leavers, maternity/paternity, changes to contracts) in a timely manner
  • To support the completion of all statutory checks for staff as necessary
  • To support the maintenance of the Single Central Register ensuring all requirements are met
  • To support the administration of all Occupational Health Referrals as and when required
  • To support all recruitment activities for the academy ensuring that safer recruitment procedures are adhered to
  • Using systems to support the management tracking of staff absences and report to the HR Manager when trigger points are reached
  • Arrange absence review meetings as necessary
  • Ensure all absence data is provided each month to payroll by the required deadline
  • Maintain all required records for employees such as staff lists, holiday entitlements, training course attendance, DBS disclosures, annual salary reviews
  • Undertake checking and monitoring as required
  • To work proactively with regards to Human Resources practices and procedures, increasing knowledge and improving processes and procedures as appropriate
  • To promote and safeguard the welfare of the children and young people that you are responsible for or come into contact with
  • To deal sensitively and confidentially with data and information required in performing the duties of the post
  • To support minute taking/notes for internal committees
  • To support general admin tasks for Trips & Visits and Key Events such as Induction Days/Open evenings
  • To support the Exam Team
  • To support the Assistant Headteacher with Cover and liaise with providers.
  • Maintain the Kepier Internal Calendar
  • To support the school by actioning Time off requests via the online system
  • Any other reasonable duties as requested by the Line Manager, Headteacher or member of the Senior Leadership Team that are not specified in this job description
  • The post holder must be willing to undertake First Aid at Work training and carry out the role, if required
  • The post holder must be willing to undertake Fire Warden training and carry out the role, if required

Course contents
  • Service Delivery: Delivers excellent customer service on a range of HR queries and requirements, providing solutions, advice and support primarily to managers. Builds managers’ expertise in HR matters, improving their ability to handle repeated situations themselves where appropriate. Uses agreed systems and processes to deliver service to customers. Takes the initiative to meet agreed individual and team KPIs in line with company policy, values, standards. Plans and organises their work, often without direct supervision, to meet commitments and KPIs.
  • Problem Solving: Uses sound questioning and active listening skills to understand requirements and establish root causes before developing HR solutions. Takes ownership through to resolution, escalating complex situations as appropriate.
  • Communication & Interpersonal: Deals effectively with customers/colleagues, using sound interpersonal skills and communicating well through a range of media eg phone, face to face, email, internet. Adapts their style to their audience. Builds trust and sound relationships with customers. Handles conflict and sensitive HR situations professionally and confidentially.
  • Teamwork: Consistently supports colleagues /collaborates within the team and HR to achieve results. Builds/maintains strong working relationships with others in the team and across HR where necessary.
  • Process Improvement: Identifies opportunities to improve HR performance and service; acts on them within the authority of their role. Supports implementation of HR changes/projects with the business.
  • Managing HR Information: Maintains required HR records as part of services delivered. Prepares reports and management information from HR data, with interpretation as required.
  • Personal Development: Keeps up to date with business changes and HR legal/policy/process changes relevant to their role. Seeks feedback and acts on it to improve their performance and overall capability.
  • Your training plan

    • The successful candidate will complete Level 3 HR Support Apprenticeship Standard
    • This will be delivered in the workplace, with a tutor visiting once a month
    • The only times you would be required to attend college would be for induction, and if you have any maths and English functional skills to complete
    • Maths and English classes would be weekly until the exams are passed
    • If you hold either GCSE grade 4 or above, or a level 2 in maths and English, you will not be required to do these again
