Summary

We are looking to recruit an apprentice to join our friendly community team in Manchester. You will become part of a team that provides careers support to 16–18-year-olds who are not in education, employment or training, helping them to identify their career ambitions and move into fulfilling work and training.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

Job Purpose

1. To promote the Manchester Connect service and relevant local education and employment opportunities to clients, service users, parents and partner organisations.
2. To provide administrative support for the Manchester Connect team and support with service delivery.


Principal Duties and Responsibilities

1. Creative use of design software such as Canva to create bulletins, flyers and posts for social media and to help promote and market the service.
2. Production of jobs and opportunities bulletins for circulating to clients and partner organisations.
3. Supporting the production of promotional and publicity materials.
4. Liaison and close working relationships with colleagues in partner
organisations such as Manchester City Council, schools, colleges, training providers, employers and a range of support services in the city.
5. Administration duties as required, to include updating client records,
spreadsheets and reports.
6. Answering the telephone and dealing appropriately with callers.
7. Outbound telephone contact with service users and clients, and accurate recording of data
8. Supporting careers advisers and employment coaches in their work
9. Acting as a local apprenticeship ambassador and representing Career Connect in partnership forums and meetings.
10. Taking part in and leading on Youth Voice activities, surveys, focus groups etc. to capture and reflect the opinions of young people in the city.
11. Maintaining the company’s quality policies and procedures as directed

Corporate Duties and Responsibilities

1. Ensure efficiencies are achieved in the delivery of services across the wider Career Connect portfolio
2. Promote the safeguarding and welfare of children, young people and vulnerable adults in accordance with Career Connect Safeguarding policy and procedures.
3. Helping to maintain a safe and healthy working environment in accordance with Career Connect Health and Safety policy and procedures.
4. Respect the confidentiality of all matters in relation to employment and clients.
5. Comply with the requirements of the Data Protection Act 1998 and other legislation with regard to the processing of any personal data.
6. Promote and maintain Career Connect policies on Equality, Dignity at Work and Code of Conduct.
7. Take responsibility for own continuous professional development, by identifying and undertaking learning and development opportunities and alerting line manager where support is needed.
8. Undertake a level 3 Business & Administration qualification during the first year of service.
9. Implement and follow Career Connect policies and procedures to promote business continuity in emergency situations.
10. Act in a risk aware rather than risk averse way. Every member of staff, from the directors through line managers to the individual employee must be aware of the nature of risk, and the agreed system of control.

  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

    All training/learning will be delivered within the workplace, there is no need for the successful applicant to attend college. You will be allocated 6 hours per working week to complete any assessor meetings, coursework, workbooks, training etc.
