Summary

We are seeking a dedicated and enthusiastic Apprentice who has completed AAT Level 2 qualification. This is an excellent opportunity for a motivated person to gain hands-on experience in a finance role while continuing studies. The successful candidate will provide support to the finance team and assist in a variety of accounting and admin tasks.

Work

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work

  • Accurately enter financial transactions and data into the company's accounting software, ensuring information is up-to-date and correctly categorized.
  • Maintain and update spreadsheets used for tracking financial data, ensuring accuracy and completeness.
  • Assist in processing incoming supplier invoices, verifying details such as amounts, dates, and supplier information.
  • Ensure invoices are correctly coded to the appropriate expense accounts and cost centers.
  • Match invoices to purchase orders and delivery notes, resolving any discrepancies with suppliers or internal departments.
  • Prepare and process payment runs, ensuring timely payment to suppliers.
  • Perform daily, weekly, and monthly bank reconciliations, comparing the company’s records to bank statements and identifying discrepancies.
  • Reconcile supplier statements, ensuring all invoices are accounted for and any discrepancies are investigated and resolved.
  • Organize and maintain both digital and physical financial records, ensuring documents are filed systematically and are easily retrievable.
  • Ensure compliance with data retention policies and procedures.
  • Provide support in the preparation of payroll.
  • Assist in maintaining payroll records and preparing payroll reports.
  • Perform general administrative tasks such as photocopying, scanning, and mailing documents.
  • Assist in generating customer invoices based on sales orders and delivery records.
  • Ensure accuracy of customer invoices, including correct pricing, discounts, and terms.
  • Follow up with customers regarding outstanding invoices and assist in resolving billing issues.
  • Assist in the analysis of variances and provide explanations for significant differences.
  • Provide support for any additional tasks or projects as required by the finance team.
  • Participate in continuous improvement initiatives to streamline financial processes and enhance efficiency.
  • Assist in special projects as assigned, such as system implementations, process improvements, or financial analysis projects.
  • Support the finance team in developing and documenting new procedures and policies.

Course contents
  • Assist with the investigation and response to financial information queries.
  • Record and analyse financial data using the organisation’s standard tools and processes.
  • Apply double entry bookkeeping and accounting standards to process financial documents, generate financial statements and report financial information to users of accounts.
  • Assist with production of accurate financial information for the preparation of accounts.
  • Reconcile financial data, such as, preparation of reconciliations or review of reconciliations.
  • Investigate, resolve or escalate transactional queries and errors within their remit as appropriate.
  • Develop and maintain effective working relationships with stakeholders.
  • Communicate financial information in a way that non-finance stakeholders can interpret and understand.
  • Utilise digital skills to present key financial information using finance and accounting software and applications.
  • Use software packages to assist with basic accounting tasks in line with cyber and data security requirements, using data securely and safely, including backing up data.
  • Communicate using varying approaches and different media methods with an appreciation of the risks and benefits to the business of social media and other digital applications.
  • Your training plan

    Working towards completing Level 3 Assistant Accountant Apprenticeship Standard. Attendance one day per week at Hertford Regional College to achieve Level 3 AAT qualification.

    Essential qualifications

    GCSE or equivalent in:

    • English (grade A*-C (9-4))
    • Maths (grade A*-C (9-4))
    • Level 2 AAT (grade Pass)
